We are looking forward to welcoming you to STAO Celebrates on November 27-28!  Here is some important information you will need to know before the event.  

Set Up Time Options
Wednesday Night After 6 pm
Thursday Morning After 6 am, with your setup ready to go by 

9:30 am

Exhibit Hall Hours
Thursday Day 9:30 am – 6:30 pm

Open House from 4:00 pm – 6:30 pm

Friday Day 9:00 am – 4:30 pm

Set Up Information

You can unload your booth items right from the underground parking. There is an elevator that leads up to the Registration area which is close to the exhibit hall.

If you have large items to unload, there is one loading dock located at the rear of the complex.  This upper dock is situated behind the Richmond Ballroom (see map).  It can be accessed off Highway #7 to East Beaver Creek, around the Town of Richmond Hill building.  It is ramped and can accommodate one vehicle at a time (4-foot loading dock height).  Immediately prior to proceeding to the exhibit hall for setup, exhibitors must remove their vehicle from the loading dock.  Keys should remain in the ignition of the vehicles at all times while in the loading dock area.  Should the vehicle not be removed within the permitted time, hotel personnel will move the vehicle at the exhibitor’s risk and expense.  The hotel does not provide dollies, carts, etc. for the move-in or move-out.  Follow the yellow dotted line on the map below to reach the Hotel Loading Dock. 

Attendee Swag Bags:
Attendees will receive their conference bags upon arrival. If you’d like to include promotional materials in the bags, please advise us at conference@stao.ca and send them to Attn: Nathalie Rudner, Executive Director, STAO, 29 Coldwater Court, Thornhill, ON, L4J 7S4 by November 15

Please provide 500 copies of each item.

Door Prizes

We invite you to contribute a door prize to the conference! To help drive attendee engagement, we’re excited to introduce the STAO Exhibitor “STAO Periodic Pursuit”. This fun activity is designed to drive attendees to your booth and allow them to qualify for door prizes. Each exhibitor has been assigned an atomic number (your booth number) of an “element” of the Periodic Table. Attendees will complete their  “Periodic Table Passport” by visiting and engaging with you at your booth. Attendees will be entered into the door prize draws based on the level of completion of their Periodic Table Passport!

  • If you would like to contribute an item to the conference door prizes, please reply to conference@stao.ca to let us know what you would like to include as a door prize (item/ value). Please bring the door prize(s) with you to the conference and drop them off at the registration desk on Wednesday evening or Thursday morning. 
  • You may also host your own draw at your booth if you wish.
