Presenter Information

We are looking forward to welcoming you to STAO Celebrates on November 27-28!  Here is some important information you will need to know before the event.  

Lunch is provided. There will be vegetarian and Halal non-vegetarian options each day.  If you have a special dietary requirement, please fill in this survey by Monday, November 17

Check-in information

  • Free parking!  There is plenty of free parking in the underground garage. The elevators from the garage take you right to the registration desk on the hotel level. 
  • Check-in is in the lobby across from the parking garage elevators.   Just bring yourself and we will have your badge ready for you!
  • After checking in, you can store your presentation materials in the Presenter Lounge (Ballantrae Room, on the workshop level).
  • Please check the location of your presentation on SCHED (see instructions below). 
  • Maps will be posted near the registration desk
  • If you have any resources or materials that you would like to share with attendees, you can link them to your presentation on SCHED (see instructions below)

Room Information

  • Please arrive at your room 5-10 minutes before the scheduled start of your presentation.
  • Each room will have a projector with HDMI and VGA adaptors and a screen/ whiteboard for projection. All projectors can project sound. If you require a special adapter (e.g., USB-C to HDMI) for your laptop (Mac, etc), please bring it! 
  • There will be floating tech support between the presentation rooms. We will provide you with information on how to access them upon check-in. 
  • If you need a flip chart or whiteboard, please arrange with us beforehand.
  • The room set up will include round tables that seat 8-10 people each.  The room capacity for your presentation can be found in SCHED.
  • Playground:  Playground sessions will have 3 round tables that seat 8-10 people each, a projector and a screen.

Spark Talk and Thursday Evening Conference Information

  • If you are doing a Spark Talk on Thursday evening, the format will be as follows:
    • 3 speakers will be assigned to one room and will each have 5 minutes to set up and 15 minutes to do their talk and/or demo. The SCHED app has been updated with your appropriate timing.

Meals

  • Morning coffee/ tea will be available (with a light snack of granola bars).  
  • Lunch is provided. There will be vegetarian and Halal non-vegetarian options each day.  If you have a special dietary requirement, please fill in this survey by Monday, November 17
  • Light refreshments will be provided on Thursday afternoon for those staying for the evening sessions.

Tips for using SCHED

  • Every presenter and attendee will have access to SCHED.  This is the platform we use to share the schedule and presenter information.  It’s a powerful tool, and we encourage each presenter to set up their profile.
  • If you are having difficulty logging in to SCHED or haven’t received the invite, please let me know at cindy.powell@stao.ca.
  • Once you log in, click on ‘Schedule’.  This should show you your presentations, and also any other presentations you have signed up to attend.
  • Click on ‘Manage and Promote Your Session’ if you would like to upload a presentation or files for your attendees.  This can be done after your presentation as well
  • The ‘Schedule’ tab is also where you can see which room your presentation is in
